The obligation, in plain words
Every company using AI must train its staff. Yes, small ones too.
Article 4 of the EU AI Act requires companies that use AI systems — from ChatGPT or Copilot to tools with embedded AI — to ensure their staff have a sufficient level of AI literacy, adapted to their role and the systems they handle. And to be able to prove it.
What it requires
Real, adapted training: what AI is, what its risks are (errors, bias, personal data) and how to use it well in each role. An internal email or an unread PDF does not qualify.
Since when
The duty applies since 2 February 2025. On 2 August 2026 national supervision and penalty regimes become fully operational: from then on, an inspection can ask for evidence.
What happens if not
The AI Act provides for fines of up to €35M or 7% of turnover for its most serious infringements, with Member States setting the rest. And without documented training, any AI incident (data leak, biased decision) becomes indefensible.

FAQ
What your clients will ask you (and you'll ask us)
Is AI training mandatory for companies?
Yes, if the company uses AI systems — and today that includes ChatGPT, Copilot, or CRM and office tools with embedded AI. Article 4 of Regulation (EU) 2024/1689 requires providers and deployers to ensure a sufficient level of AI literacy of their staff and of anyone operating AI systems on their behalf, taking into account their training, experience and context of use.
Since when does it apply?
The literacy duty applies since 2 February 2025. On 2 August 2026 the governance system becomes fully operational: national authorities designated and penalty regimes in force. That is the date from which an inspection can ask a company to prove its training. Training earlier is not getting ahead: it is complying.
Are there fines for not training staff?
The AI Act provides for penalties of up to €35 million or 7% of worldwide turnover for its most serious infringements, and tasks each Member State with setting an "effective, proportionate and dissuasive" regime for the rest. Beyond the direct risk, a lack of literacy aggravates any incident: after a data leak caused by pasting information into an AI chat, or a biased decision, the first thing examined is whether staff were trained. The evidence log is the company's documented defence.
Does it work for subsidised training schemes?
Yes. The pack includes a script with objectives, contents per module, duration (6 hours, extendable), learning checks and attendance and assessment evidence, drafted to fit the usual requirements of employer-funded training schemes (such as FUNDAE in Spain). The administration is handled by the firm or its training organiser, exactly as with any other course.
Who in the company needs to be trained?
Everyone who uses AI or works with its output: administration, HR, marketing, sales, customer service and management. Article 4 asks to adapt the training to each group's profile, and the pack is built that way: common modules in plain language plus department-specific cases, without unnecessary jargon.
How does the white-label licence work?
You pay €390 once and receive the full pack in editable formats. You can apply your logo and colours and deliver it to as many clients as you want, at whatever price you decide, with certificates issued under your brand. The only thing the licence does not allow is reselling the pack itself as a product to other consultancies. The annual update (€99) is optional and keeps the content current.
